How to enable live captions and transcriptions in Microsoft Teams – Guide

Microsoft Teams is a proprietary enterprise communications platform developed by Microsoft as part of the Microsoft 365 family of products. Teams primarily competes with the similar service Slack, offering workspace chat and video conferencing, file storage, and applications. Teams is replacing other Microsoft enterprise messaging and collaboration platforms, including Skype for Business and Microsoft Classroom. As of COVID-19, Teams has around 250 million monthly users.

How to use live captions in Microsoft Teams

After starting the Teams video meeting, click the ellipsis icon for More Actions at the top of the screen and select the Enable live captions option. Any meeting participant can turn on live captions.

As each participant speaks, their conversation appears as text on the screen.

How to use transcripts in Microsoft Teams

To enable transcripts for everyone in your organization, select the policy for Global (default for the entire organization). On the settings screen, look for the Recording and Transcription section, enable the option for transcription and click Save at the bottom. Keep in mind that it can take several hours or more for the policy change to propagate throughout the organization.

Schedule a meeting and then start transcription. Any meeting participant can start transcription as long as they have permission through the meeting policy.

The transcript of the conversation is displayed on the right side of the screen. Each speaker is highlighted by their name and the text of their conversation. You can see more as the conversation progresses since the text appears in a vertical panel. ..

You can roll up in the panel to view any previous text in the transcript.

Any participant can view the live transcript. To do this, click the ellipsis icon and select Show transcript. To hide the transcript, click the icon and select Hide Transcript.

To end the live transcript, click the icon and select Stop Transcription. After you end the meeting, you will be able to access the transcript. To do this, go to the calendar view in Teams, click on the meeting event and select Edit button. At the top of the screen for that meeting, select Recordings and Transcripts. If you don’t see the Recordings and Transcripts option, expand the window width or select the down arrow next to More.

The transcript for this story appears. To save it, click the Download button button. Choose whether to save the transcript as a Word document (DOCX) or as a Web Video Text Tracks (VTT) file. You can open the Word document in Microsoft Word and the VTT file in any text editor.
